Room Ready
Privacy Policy
Effective October 25, 2026
The short version
- We use your information to build what you asked for: your record and your interview briefs.
- We do not sell your information, and we do not use it for advertising.
- Your information is not used to train AI models, by us or by our AI provider.
- Your answers and drafts are private to you. If you joined through a coach or partner, they see your progress and your finished record, which includes your pay figures and the full version of your answers to hard questions. They never see your working answers or drafts.
- We keep your information while you are a client and delete it within 30 days after that ends. We email you first.
1. Who this policy covers
This policy explains what Room Ready collects, how we use it, who can see it, and how long we keep it. Room Ready, previously named First Chair, is a product of Throughpoint Advisory LLC, a New York limited liability company (“Throughpoint,” “we,” “us,” or “our”). The policy covers beroomready.com, firstchairhq.com, and any other site or app where we offer Room Ready; your record; your briefs; the resume and LinkedIn add-on, and any email or file you send us (together, the “Service”).
Room Ready is offered only to people in the United States who are 18 or older. We do not knowingly collect information from anyone under 18. If you believe someone under 18 has given us information, email us and we will delete it.
If you live in Washington or Nevada, our Consumer Health Data Privacy Policy also applies to you.
2. What we collect
What you give us
- Your account: your email address. You sign in with a link we email you. There is no password.
- An invite request: your email address and, if you give it, the role you are aiming for.
- The free Match Meter: the job posting and the resume or profile text you paste on the Match Meter page to get a score. You do not need an account. We send both texts to our AI provider to produce the score and we do not store them: they are not written to our database, and the result is shown only in your browser. What a run leaves behind is described under “What we collect as you use the Service.”
- Your record: everything you type, paste, or dictate into it. That includes your resume or profile text, your work history, dates, and any gaps, the work you describe and the evidence behind it, the people you name and how each may be named, your answers to hard questions such as why you left a job, your stories, what you want next, the pay you would accept and the pay you want, and the contact details you want on a resume (name, email, phone, city, and LinkedIn address).
- For interview briefs: the jobs and companies you are pursuing, job postings, your interview schedule and who you are meeting, your notes, transcripts of your conversations if you choose to give them to us, emails and messages about your search, and offer terms. We work from transcripts and notes, not audio or video recordings.
- Messages: what you send us by email or through the Service, including feedback.
What we collect as you use the Service
- Sign-in cookies that keep you signed in and let a sign-in link finish only in the browser that asked for it.
- Account activity: when your account was created and when you last signed in, visited your account, or bought something. We use this to know when an account has gone unused for 12 months.
- Record activity: when you opened and finished each step of your record, the time you spent on each step while using the page, and whether an automated check flagged part of an answer. We log that a flag happened, never what it flagged. The checks also look for signs that you may be in crisis. If they see one, the page pauses and shows where to get help, and that flag clears when you dismiss the pause.
- A log of each AI step: which step ran, which AI model ran it, how much text it processed, how long it took, and what it cost. The log never holds the words.
- A log of each free Match Meter run: a visitor code, which AI model ran it, how much text it processed, how long it took, and what it cost. The visitor code is made from your IP address and browser type with a key that changes every day, so it cannot be turned back into either and does not connect one day’s runs to the next. It exists only to hold each visitor to a few runs a day. The log never holds the words, and we delete it after 30 days.
- Technical information: your IP address, browser and device type, the pages you request, and error reports, collected by our hosting and database providers to run and protect the Service.
We do not use analytics, advertising, or social media tracking tools.
What we get from others
- Payments: Stripe processes payments. We receive what you bought, the amount, and Stripe’s reference numbers. We never see your full card number.
- Coaches and partners: if you came to Room Ready through a coach, career service, or other partner (a “Partner”), we receive the information about you that you authorized the Partner to share with us. That can include your resume and profile, notes from intake and coaching calls, your interview schedule and calendar, interview transcripts, emails about your search and outreach, and your LinkedIn messages and connections.
- Public sources: to prepare briefs, we research employers and the people who will interview you, using public information such as company filings, news, job postings, and professional profiles.
3. Sensitive information
Please do not give us government ID numbers; health or disability information about you or anyone else; information about anyone’s religion, race, ethnicity, sexual orientation, or immigration status; an employer’s or client’s confidential information or trade secrets; classified or export-controlled information; patient, client, or customer records; or anything covered by an agreement that bars you from sharing it.
A resume you paste into the record is saved as you type. When you ask the record to read it, an automated check removes details such as government ID numbers, your date of birth, and health information. Your answers in the inventory, entries, hard questions, and stories are also checked for health and other sensitive details, and you are asked to take them out. Other fields, such as your timeline and its gaps, are not checked. The checks are automated and can miss things, so what you share stays your responsibility.
The free Match Meter does not run these checks: it reads what you paste as it is, keeps none of it, and the AI model is told to ignore personal details that have nothing to do with fit. Leave out of your paste anything you would not want read.
If you want to include health or other sensitive information, we ask for your consent first: in the record’s agreement step, and again when you keep an answer a check flagged. With it, we use that information to build your record and your interview briefs, and for nothing else. If you have not given consent, leave it out. You can take it out, delete it, or withdraw your consent at any time.
4. Information about other people
Records and briefs hold information about people other than the user, such as former colleagues, managers, references, and interviewers. We use it only in the record and briefs of the user who gave it to us or who is meeting that person. Your record asks the user how each person may be named. We do not contact these people, and we never sell or publish information about them.
If you think we hold information about you because a Room Ready user named you or you interviewed one, email us. We will review your request and remove what we reasonably can.
5. How we use information
- To provide the Service: to build and check your record, build and update your interview briefs, and write your resume and LinkedIn text if you buy the add-on.
- To run your account: sign-in, invitations, purchases, and access.
- To communicate with you: sign-in links, invitations, receipts, service and account notices, notices before we delete anything, and replies to you. Once you have an account, we may also send occasional news about Room Ready, and every news email has a link to unsubscribe. We do not send news to an address that has only asked for an invite.
- To keep the Service working and safe: to set and enforce usage limits, prevent fraud and misuse, fix problems, and protect our systems.
- To improve the Service: we use activity and the AI step log to measure how long steps take, what they cost, and where people stop. We may use information that is de-identified or combined so it does not identify anyone to improve the method and the Service.
- For legal reasons: to comply with the law, enforce our Terms, and protect our rights and the rights of others.
We do not:
- sell personal information;
- share personal information for advertising, or use it to show you ads;
- collect, use, or sell personal information to train large language models or any other AI model, or let our AI provider train on it;
- publish your name, record, or briefs, or use them in our marketing, without your written permission; or
- make hiring decisions or any other decision about you that has a legal or similarly significant effect.
6. How Room Ready uses AI
Room Ready uses AI to read your answers, write follow-up questions, draft parts of your record, check its claims, research employers and interviewers, and write briefs. Our AI provider is Anthropic, the maker of Claude.
On the website, your answers, and the posting and resume you paste into the free Match Meter, go to Anthropic through Room Ready’s business account, and the AI model that reads them runs in the United States. Under Anthropic’s commercial terms, Anthropic does not train its models on that information. It keeps what it receives only for a limited time under its own policies, currently up to 30 days, and longer if its safety systems flag it. Briefs are built by Room Ready with AI tools that are set so your information is not used to train AI models.
AI can be wrong. Our Terms explain why you should check everything the Service gives you before you use it.
9. How long we keep information
While you are a client. We keep your information while you are a Room Ready client. Your time as a client ends when you close your account, or after 12 months with no purchase and no sign-in. When it ends, we email you before we delete anything. Within 30 days after it ends, we delete your account, your record, answers, drafts, briefs, and the files we hold for you, unless you ask us to hold them for your next search.
Any time you like. “Delete everything” on your record’s start page erases your answers, drafts, and finished record right away. You can also ask us to delete anything else. Copies of what you delete can remain for a short time in our database backups and with our AI provider, as described above.
What we keep longer, and why.
- Records of purchases and payments, held by us and by Stripe, for as long as tax, accounting, and legal rules require.
- A record that you agreed to our Terms (your email address, the versions, and the time), for up to six years, so we can show what was agreed.
- Email we exchanged with you and feedback you gave us, for as long as we need them to run the business, and no more than six years.
- Information we need for a legal claim, a dispute, or an investigation, until it is resolved.
- Backup copies, until our providers overwrite them on their regular schedule. We do not use backups for anything except restoring the Service.
- Information that is de-identified or combined so it does not identify anyone.
The free Match Meter keeps nothing you paste. Its run log (the daily visitor code, the model, the amount of text, the time, and the cost) is deleted after 30 days. An invite request is kept until you open an account or ask us to remove it. A Partner keeps what it received under its own policies.
10. Your choices and requests
- See and copy your information. You can save your record file from the record’s last step. You can ask us at any time for a copy of your record or of any other information we hold about you.
- Correct it. You can edit your record, and you can ask us to correct anything else.
- Delete it. You can delete everything in your record, close your account, or ask us to delete your information.
- Withdraw consent. You can withdraw any consent you gave us, such as consent to keep health information in your record.
- Stop news emails. Use the unsubscribe link in any news email. Account and service emails still go out while you have an account.
To make a request, email support@beroomready.com from your account email address. We may need to confirm it is you before we act. We answer within 45 days, and if we need more time, we will tell you and take up to 45 more. We will not treat you differently for making a request.
If we decline a request, we will tell you why. You can appeal by replying with the word “Appeal,” and we will answer your appeal within 45 days. If we deny your appeal, you can contact the attorney general of your state.
Some state laws give residents specific privacy rights. We offer the choices above to everyone, wherever they live in the United States. We do not sell or share personal information as California law defines those terms, and we do not disclose personal information to others for their direct marketing.
11. Security
We protect your information with sign-in by one-time emailed links, database rules that let each account read only its own information, encryption in transit, limits on how much each account can run, and access limited to the people who need it. No system is perfectly secure, and we cannot guarantee that your information will never be accessed, changed, or lost.
Anyone who can read your email can sign in to your account, so keep your email account secure. If we learn of a security breach that affects your information, we will notify you as the law requires.
12. Where information is processed
The website and its database run in the United States, and the AI model that reads your record answers runs in the United States. Some providers, such as Stripe and our email and office tools, may also process information outside the United States. The Service is offered only in the United States.
13. Changes to this policy
We will post any change here with a new effective date. If a change is material, we will tell you by email or in the Service before it takes effect. If a change would let us use information we already hold in a materially different way, we will ask for your consent first.
